Filter Options

There are two options when selecting criteria for Moving, Deactivating and Reactivating leads – a ‘default’ view and an ‘advanced’ view. The advanced view will give you more options and flexibility when it comes to filtering data.

Choose from the available lists which lists you wish to move data from. Once you have done this, you need to select the destination list you wish to move data to.

Choosing a list will also return the lists Total Leads and what data is currently in the 'Destination List' - that meets the Filtered criteria you’ve applied. Choosing a list here will also remove the list from the 'Available Lists' menu on the left as it’s not possible to move data to the place it is already!


In the top right corner of the page you will see a grey button which, when selected, changes from the default view to the more advanced view;

Both default and advanced views show the Destination List when set to move data – choosing a list in this drop down sets the destination that the filtered leads will be moved to.


Default filter options

In the basic filter view, you have a fixed drop down of options for filtering/selecting data – the Action will be different depending if you’re Moving, Deactivating or Reactivating leads however the options in the drop-down menu will remain the same;


Filter by First X Leads

The 'X' in First X Leads will be the number of leads you want to move. Simply enter a number into the box.


Entering 999 will choose the first 999 leads in each of the lists (if you've selected multiple) you’ve selected to either be moved, deactivated or reactivated. The order with which the leads are selected will be the order as they appear in database, which will be the order they were loaded in – with the oldest leads (in terms of loaded date) being at the top of the list. 


Filter by Supplier

Filtering by Supplier allows you to quickly and easily group data based on a matching Supplier – it’s therefore useful to always consider this whenever loading the data into the system, as it will allow a lot of flexibility.  For example, loading data in March 2017 with a Supplier name of ‘March 2017’ would allow deactivation of all leads from March 2017 at any stage you liked quickly and easily. 


Filter by Postcode 

You can enter all or part of a postcode to filter the available lists to the whole or part postcode value entered. Entering just an “M” would return all data with a postcode starting with an M, changing the entry to be “M2” would filter the data further to now only have entries starting with an M2 postcode etc. The Postcode field here is looking at the Primary Mapping Postcode field, populated by choice whenever importing into the system.  It’s therefore important to ensure this field is mapped when importing data. 


Filter by Reference ID

Reference ID is a custom field that could feasibly be populated with anything. It’s normally a customer’s reference number if the MaxContact solution has been linked with a 3rd party CRM/Application, however it can be populated with any data required. The data that will appear in here will be whatever was decided to be put in when the data was loaded into the system.


Note - If using this field for something, it’s important to remain consistent with any import into the system. 


Filter by City

This field works in the same way as the Postcode field – entering the starting part or full name of a city will filter by that criteria. ‘Man’ would filter the data to cities like Manchester and Mansfield. It’s important to note that the filter is looking for the starting characters of the city only.  So, any data loaded with ‘Greater Manchester’ as the city name would not appear using the criteria ‘Man’. 


Filter by Result Code

If there is data with a certain result code that requires moving, deactivating or reactivating you can utilise this method. The drop down contains a list of all the result codes currently in the system – including system generated ones. 


Note: Leads can only be reactivated on this page if they have been deactivated using this page.



 Advanced filter options

The Advanced section gives a lot more flexibility when it comes to filtering the data as it allows detailed customisation of what is required to filter by, using multiple criteria.


Note – it is only possible to filter by data that has been mapped into the system through the import process.


Build Your Filters

This contains all the default Primary fields that the dialler has, and it will also show a full list of the custom fields created in the data table.


This data is mostly populated when importing the data at the Primary and Secondary mapping stages. However, this can also be populated by agents as they capture new information or change information through the scripts.


And/Or

And - Using the AND function means that all the criteria chosen will have to be met to be included. Choosing City being equal to Manchester and the Total Attempts being less than 5 – it would return everyone in Manchester who had been called less than 5 times only.


Or - The OR function by contrast allows you to widen the search but still include base criteria. Using the example above, the results would be anyone in Manchester or anyone that had been called less than 5 times. A better application of this would be to choose different criteria on the same field, such as where the Last Result Code was No Answer or the Last Result Code was Answer Machine to allow the data to be moved much more efficiently than by one result code at a time.


Add Rule

The 'Add rule' function allows you to add another field of criteria to filter by. There are no limits to the number of rules that can be applied when filtering data.


Add Group

It's possible to combine both above functions using the 'Add group' button. This will allow you to combine both AND / OR criteria.


Delete - Use the “Delete” button to remove filters that have been added.


Refresh - Use the Refresh Lists button to update the number of Leads once filters have been applied.


Back To Quick Actions - Clicking this will 'reset' the page back to the default, removing any filters/template you have selected.


Moving Data

Available Lists - Where the data is moving from.

Destination List - Where the data will be moved to.


1 - To move data from one list to another, you will first need to select your list to take the data from. To do this, simply select the relevant list under the 'Available Lists' header (Multiple lists can be selected).


2 - Next, you will need to select the list you wish to move the data to. This is done by selecting the relevant List Name from the drop-down under the 'Destination List' Header.


3 - By Default, once you have selected a destination list, you will see the header 'Quick Actions' underneath where you can select how you are moving your data as detailed above.


4 - If you wish to move data in a more detailed way, you will need to select the advanced options and create filters, as described above.


5 - Alternatively, you can select a template from the right hand side of the screen when you first arrive at the page and it will automatically change the settings. This is particularly useful if you regularly move data between lists. 


6 - Once you are happy with what you are moving and how, you can select the green button which will tell you how many leads you are moving within the brackets.


Pressing the Move button will execute the action and display a warning dialog box to confirm;


Deactivating Data

Available Lists - Where the data is being deactivated.


1 - To deactivate data, you will first need to select the list you wish to deactivate data on. The data will stay on this list but will be deactivated so wont be called if the list was put in a running campaign. To do this, simply select the relevant list under the 'Available Lists' header (Multiple lists can be selected).


2 - By Default, once you have selected a list, you will see the header 'Quick Actions' underneath where you can select how you are deactivating your data as detailed above.


3 - Once you are happy with what you are deactivating, you can select the green button which will tell you how many leads you are moving within the brackets.


Pressing the Deactivate button will execute the action and display a warning dialog box to confirm;


Reactivating Data

Available Lists - Where the data is being reactivated.


1 - To reactivate data, you will first need to select the list you wish to reactivate data on. To do this, simply select the relevant list under the 'Available Lists' header (Multiple lists can be selected). This will display all lists and the numbers will correspond to the amount of data on each list that has been deactivated previously.


2 - By Default, once you have selected a list, you will see the header 'Quick Actions' underneath where you can select how you are reactivating your data as detailed above.


3 - Once you are happy with what you are deactivating, you can select the green button which will tell you how many leads you are reactivating within the brackets.


Pressing the Activate button will execute the action and display a warning dialog box to confirm;


Change Skill

To change skill groups of contacts in bulk, head over to the List Data manager page. This can be used in conjunction with all advanced and standard filters available by default on the page.


Basic options

1 - Firstly, select 'Change Skill Group' from the 'Action' dropdown.


2 - Next, select the list (or lists) you wish to update.

Note - This will change the skill group for ALL active contacts on the list.


3 - Choose the Skill group you wish to assign to the contacts on the list.


4 - Select the button to apply the skill group change.


Advanced options

The Advanced options can still be applied on this page so you can change skills on specific groups of leads. For example, change skills for leads whose postcode begins with M34 and drive a car with a value over £20,000 and so on.


Don't forget you can also filter the contacts in each list by Skill Group ID.
