Overview

The Lead Search and Edit page lets you locate individual leads on the system, review their details, update their information, and delete them where required. For example, in response to a GDPR removal request.

To access it, go to Data > Data Handling > Lead Search and Edit.


Basic search

The basic search fields are displayed at the top of the page. Enter a value into one or more fields and click Search.

Each field supports partial matching — for example, entering Man in the City field will return all leads where the city contains "man". The available fields are:

First name*The lead's first name.
Last name*The lead's last name.
Address line 1*First line of the lead's address.
Address line 2*Second line of the lead's address.
City*The lead's city.
Country*The lead's country.
Post code*The lead's postcode.
Reference*A reference number or code associated with the lead.
Phone number*Any phone number associated with the lead.
Lead IDThe system-assigned ID for the lead.

*Note. These fields relate to the primary data held against a lead. This information is typically mapped during the import process. See Import Leads for more detail.


Advanced search

Click the Advanced button next to the search button to add rules and filters to your search. This gives you access to the full range of lead fields (including default system fields such as List name and Phone attempts, and any secondary (bespoke) fields created during data import).

Example. To find leads with a date of birth within a specific range, add the date of birth field and select Between, then set your start and end dates.


Multiple rules

You can combine multiple rules to narrow or broaden your search. Use the controls below to build your filter:

ANDAll criteria must be met for a lead to appear in the results.
ORResults will include leads matching any of the criteria, widening the search.
Add ruleAdds an additional filter rule to the current set.
Add groupAdds a grouped set of rules, allowing you to combine AND and OR logic across separate rule groups.
Delete ruleRemoves the selected rule from the search.

Search Results

Matching leads are displayed in a table below the search fields. Each row shows the lead's key details, with two action icons on the right.


Edit Lead

Click the edit icon to open the lead's full record. This opens a detail view within the page containing the following sections:

Lead infoThe lead's standard details, including the list they reside on. Fields can be edited directly here.
Secondary lead infoAny secondary (bespoke) data imported against the lead or added via scripts.
Ticket historyOpens a new browser window showing any interaction history the lead has had on the system.
DownloadDownloads the lead's details as a CSV file.
Number tableShows all phone numbers associated with the lead. Numbers can be edited or deleted from here — a confirmation dialogue appears before any changes are applied.
Add phone numberAdds a new phone number to the lead record.
Delete phone number
Removes the selected phone number from the lead record.

Deleting a lead

Click the delete icon on a lead to remove it from the system. A confirmation dialogue will appear asking you to select a Do Not Call category before the deletion is confirmed.

Note. Deleting a lead is a GDPR-compliant removal. It cannot be undone. The following happens when a lead is deleted:

  • All personal information fields on the lead record are sanitised
  • The lead's phone numbers are removed from the lead record and added to the Do Not Call list under the selected DNC category
  • The lead is flagged so it cannot be called again
  • Call statistics (time of call, duration, etc.) are retained for reporting purposes, but any identifying information is replaced with a series of x's — visible to users with access to reporting
